Manual Rostering Steps

If your school or district has opted for manual rostering, here’s a simple guide to get you started! Below, you'll find the steps to build your Kiddom rosters (whether it's for the first time or to add a new user), as well as instructions on how to log in. Let’s get you up and running smoothly!

Note: if your school or district manages rosters through an integration system (e.g., Clever, ClassLink, etc.), you will not be able to make the changes described in this article. If you need to make any adjustments to rosters in Kiddom, please contact your school's administrator or IT team.

Filling in the CSV template:

In order to roster students and staff, make a copy of this spreadsheet and enter the following information (please do not update column headers or change column order):

  • Name: first and last name (must be in the same column)
  • Email: teacher and student school email addresses 
  • RoleTeacher or Student
    • Users who need Admin rights will need to be given a teacher role type. Once enrolled, an admin can edit the users role type here
  • Class Code (class_code ): If teachers have created their classes in Kiddom and have shared their class codes with you, you can roster students to the appropriate classes by filling in the class_code column for each student. If teachers have not created classes yet, please leave this column blank.
    • You can reuse your completed template once classes are created to bulk enroll students into their classes, if desired. At this time, only one class code per user can be supported. If users are in more than one class, you will need to upload a csv bulk for each additional class.
  • School Name (school_name ): Enter the school name where users should be rostered.
  • Password: Enter the password used for Kiddom Direct logins
    • Users can update their passwords using the Account Settings menu located in the avatar icon once they are rostered

If you are a school administrator, the following column headers will be required in your csv upload:

  • Name, Email, Role, and Password
    • The school_name column needs to be removed entirely

If you are a district administrator, the following column headers will be required in your csv upload:

  • Name, Email, Role, School Name (school_name ), and Password

Uploading your CSV into Kiddom:

  1. Once your spreadsheet is complete, you will need to download it in a csv format.
  2. Log into your Kiddom account, hover over the left-side menu, and click on User Management (silhouette icon). This will take you to your school or district’s Kiddom rosters, depending on your admin level.

  1. Click the blue Add Users button in the upper right corner.

  1. A new upload box will appear. You can either drag & drop the csv file or click “upload from your device” and select the csv file you want to upload. You can also download the spreadsheet template on this page.

Note: If you receive an error while uploading the file, please review our troubleshooting tips below.

  1. Once your users are rostered, you can send login instructions by selecting their accounts and clicking “Send Login Instructions”. The users will receive an email with directions to login.

Congratulations! You have successfully rostered your staff and students! You can add more staff and students by clicking the Add Users button and uploading a revised or new .csv file.

Troubleshooting

If you receive an error while uploading the file, please review these troubleshooting tips. If these tips do not fix the error, please contact the roster support team at rosteringsupport@kiddom.co and provide a link to your template.

  1. All headers and columns must be preserved as they are in the template.
    1. Please do not change/edit the header names.
    2. Please do not add/move any columns.
  2. First and last names must be in one column; they cannot be separated
  3. If you are a school admin, please remove the school_name column completely.
  4. The class_code field can be left blank if you do not intend to use it.
  5. The document must be saved and uploaded as a csv file.
    1. Uploading in any other format will produce an error.
  6. Make sure there are no saved formulas in a column.
  7. Make sure to remove the example user Bob Builder.

Logging in

We believe schools should have control over how users access their accounts. To support different district setups, manually rostered users can access the login page by either Kiddom Direct or by utilizing the Continue with Google button. This article provides additional guidance you can share with teachers that shows both login options.

If students were not enrolled in classes using the spreadsheet, students will need to be invited to their teacher's classes or provided with the class code to join for the first time. You can find more information about this in our Invite Students to Join article.
